Registration Terms & Conditions
Brussels Gay Sports wants to make your participation in the Brussels Games as pleasant and as exciting as possible. To get things straight, we kindly ask you to read the following terms and conditions. If you register for the Brussels Games 2010, you declare that you agree with this information.
1. Registration
Registration online will start on 20 April 2011 and close on 20 August 2011 or as soon as the maximum number of participants has been reached:
- Badminton : 230 participants (double) and 90 participants (single)
- Fitness : 30 participants
- Dance : 30 participants
- Tennis : 72 participants
- Volley-ball : 40 teams
- Swimming : 120 participants
Places will be attributed on a first come first served basis. Your registration is only confirmed once you paid the tournament fee.
- Under-age participants will only be accepted if they have written permission from their parents to take part in the tournament.
2. Changes in registration
You can always access your registration with your login & password via http://members.bgs.org/registration.php (both BGS members and non-BGS participants) but ONLY till the closing date of the registration. After this date only the tournament coordinators can change your registration - in exceptional cases.
You can also add more Party or Brunch tickets to your registration. Of course they will only be granted once you paid the additional amount due.
- Modifications received after 1 September 2011 will not be taken into account.
3. Cancellation
Any cancellation has to be notified to the Brussels Games organisers by e-mail to brusselsgames@bgs.org
- Any cancellation (in part or in full) of a registration which is notified before 20 August 2011 (registration deadline) will be re-imbursed in full.
- Any cancellation notified between 20 August 2011 and 1 September 2011 will be re-imbursed half (50%).
- Any cancellation notified after September 1st will not be re-imbursed.
In case of incapacity to take part in the tournament because of illness, accident or any physical deficiency, the participant (or a member of his/her club) will have to provide proof of the incapacity (medical certificate) in order to be re-imbursed. In such cases, the deadlines mentioned above do not apply.
Brussels Gay Sports reserves the right to cancel any registration which does not meet the registration conditions or which it deems unacceptable.
4. Payment conditions
All participants are aware of the participation fees for the tournament as published on Brussels Games website (www.brusselsgames.be). All participants agree to pay for their participation in the tournament activities when registering online
- Once your registration is confirmed in the database, payment is due within 15 calendar days. After this date, Brussels Gay Sports has the right to cancel the registration.
5. Accident & Insurance
Brussels Gay Sports cannot be held responsible for any accident or damage incurred by participants during the tournament. All participants must be properly insured for all sport and non-sport activities during the tournament, either as individuals or through their clubs.
6. Accommodation
Brussels Gay Sports offers participants who come from abroad private accommodation. All requests for such accommodation will be treated on a first come first served basis within the limits of the offers received from potential hosts. Hosts are offering accommodation on an entirely voluntary basis. Participants who request such accommodation accept that Brussels Gay Sports cannot be held responsible for the quality of the logding offered.
7. Copyright & privacy
By taking part in the Brussesls Games, the Brussels Gay Sports’ tournament, participants accept that the organisers or people delegated by them might capture images (either photos or video) on the various venues where the tournament activities (sports and non-sports) take place (e.g. welcome evening, competitions, party, brunch, etc).
- These pictures will be posted on the BGS Photo Gallery, which is a secure, password protected part of our website (members.bgs.org). No degrading pictures will be published.
Participants' personal details will be stored by Brussels Gay Sports for the purpose of organising the Brussels Games tournament. Contact and other details will never be used for commercial purposes, nor disclosed to third parties.
